New in IT Portal 4.6.41 · Q4 2026
Overview
Good documentation is full of links. A note on a firewall points to the related account. A KB article links to the server it describes. That is exactly how it should be - until your portal address changes. Suddenly years of carefully linked notes point to an address that no longer works.
Rebrands cause the same headache. Your old company name lives on in hundreds of KB articles and procedures, and nobody has time to edit them all.
IT Portal 4.6.41 introduces Find & Replace to solve both problems in minutes.
How it works
An administrator sets up simple rules in site settings: find this, show that instead. For example:
- old-portal.example.com → new-portal.example.com
- Old Company Name → New Company Name
From then on, wherever that text appears in notes, KB articles, and documents, your team sees the new version - including inside links, so old links lead to the right place again. It works in both the classic and the new IT Portal interface.
Each rule has two simple options:
- Case sensitive - only match text with the exact same capitalization.
- Exact match - only match the text when it stands on its own, so a short name does not change part of a longer word or server name.
Your content is never changed
Here is the important part: Find & Replace never rewrites your stored data. The replacement happens on screen, as content is displayed. Your original notes and articles stay exactly as they were written.
That makes it completely safe to use:
- Change your mind anytime. Edit or remove a rule and the content displays as it was originally written.
- No risky bulk edits. There is no mass update to run, review, or roll back.
- Nothing lost. The original text is always there if you ever need it.
Why it matters
- Years of links keep working. A portal move no longer breaks your documentation.
- Rebrand in an afternoon. Update how your name appears across your knowledge base without editing a single article.
- Fewer support tickets. Technicians stop hitting dead links mid-incident.
- Nothing to clean up. Because nothing is rewritten, there is nothing to undo.
Getting started
Administrators can find the new Find and Replace tab under Admin Settings → Site Settings → Mass Rename. Add a row for each rule, choose the options you need, and click Save.
For examples, limits, and tips on choosing the right options, see the knowledge base article: Find and Replace for Notes, KB Articles and Documents.
