Company Notes and Remote Access Get a Cleaner, Card-Based Home

One text box was never enough

Company Notes and Remote Access details have always lived on the company record — but in a way that fought you. There was room for one note per company, so teams ended up cramming everything into a single block of text with no dates, no expiry, and no sense of what mattered most. Updating it meant opening the full company edit modal just to change a sentence. And it all looked nothing like the clean cards you use everywhere else in the Portal.

This release fixes all of that.

Familiar cards, right where the notes are

The old static blocks on the company details page are replaced by two dashboard-style cards — the same card UI admins already use on the global dashboard. Nothing new to learn; the notes just finally look and work the way the rest of the Portal does.

Notes that actually scale with your work

Instead of one long blob, you now get as many notes per company as you need — one per topic, system, or vendor:

  • Add, edit, and delete inline, without ever opening the company edit form.
  • Each note has its own settings popup, including the same frequency dropdown used across the product (Every Time, Once Per Week, all the way to Custom).
  • When a company has notes flagged to pop up, each one appears in sequence, with its own reminder schedule — so important callouts surface on their own cadence instead of being buried in a wall of text.

Remote access, one row per method

Remote Access gets the same treatment. Rather than a single field, you can now record multiple remote-access entries per company — RDP, VPN, a bastion host, and so on — each as its own clean row. Everything a tech needs to connect is listed clearly instead of mashed together.

Your existing notes come with you

Nothing gets left behind. The first time anyone logs in after the update, IT Portal automatically moves every company's existing notes and remote-access details into the new cards — keeping any popup flags and reminder frequencies you'd already set. There's nothing to copy over by hand and nothing to turn on; your content is simply there, in the nicer format, waiting for you.

The Company Notes and Remote Access overhaul ships with IT Portal 4.6.27, scheduled for Q3 2026.
